The Program Services YMCA Branch is seeking a full-time Program Coordinator for the Texas Youth and Government Statewide Program. We are looking for candidates that can work Monday through Friday between 8:00am-5: 00 pm and some weekends. The Coordinator must be available for Annual High School and Middle School State Conferences in January and February.
Under the direction of the Texas Youth and Government State Director, the Administrative & Program Coordinator is responsible for assisting with the organization, delivery, and quality of the YMCA Texas Youth and Government program. Specifically, this position focuses on volunteer management, event planning, marketing and database management. This position works independently, under general direction, and is expected to determine how to accomplish tasks. The Program Specialist position includes, but is not limited to, communicating with and coordination of volunteers for events and programs, assist with conference and additional event planning details, help compile newsletters, blogs, and website updates, and other administrative responsibilities as needed. Texas Youth and Government (YG) is a statewide civic education and leadership program. The mission is to help teenagers become responsible citizens and future leaders of our nation. High school and middle school students participate in civic engagement and service-learning program that offers students the opportunity to serve in a model government process at the local, state, and national levels. Clubs register each fall then compete at local District Conferences. Top individuals and teams from District Conferences advance to the State Conference held in January at the State Capitol.
ESSENTIAL FUNCTIONS Responsible for daily management of the volunteer program to include: volunteer communication, schedules, and training documents. This position requires that relationship building be a top priority, and be attentive to the needs of volunteers and community stakeholders. Must be available for Annual High School and Middle School State Conferences held on a weekend in January and February.
JOB RESPONSIBILITIES: Volunteer Management: Identity, recruit, manage and communicate with program volunteers in a timely manner Support needs of the Texas Youth and Government Program as it relates to volunteer activities, meetings, and events. Create and manage training documents with assistance from the State Director Input records to Customer Relationship Management (CRM) system, communicate via electronic newsletters and create timelines and schedules for volunteers. Event Planning and Marketing: Assist with State and National Conference planning, VIP Day Luncheon and meeting coordination. Purchase and maintain supplies for events as needed Help State Director secure venues Assist with post-event projects Produce a newsletter and maintain updates of the website, blogs, and social media with supervision by State Director. Community Outreach: Identify partnership opportunities, to include but not limited to law firms, law schools, State Offices, school districts and organizations across the state. Technical Skills: Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint Familiar with Mail Chimp, Word Press, Salesforce, Form Assembly or similar applications with the ability to learn and utilize these tools on a daily basis. Ability to learn quickly and work independently as needed. Ability to carry out detailed, written or oral instructions. Excellent organization, communication, writing, and problem-solving skills. Ability to manage multiple tasks and prioritize projects while staying organized. Work well with Y staff, YG participants, vendors and Y volunteers. Responsible for accuracy/timeliness of work product and keeping YG State Director informed.
REQUIREMENTS: Interested in contributing to the mission of the YMCA Proven technology skills with the ability to create routine reports and electronic communication Ability to speak effectively with volunteers, community members and staff Some college experience preferred Previous volunteer management/event planning /marketing communications experience preferred
PAY RATE: The rate of pay for this position is $13.75 – $16.00 per hour, depending on experience and full benefits package including medical, dental, and vision insurance, plus employer matched retirement upon reaching eligibility.
