Program Coordinator, Service Programs - Literacy Coalition of Central Texas

JOB PURPOSE: Support the Literacy Coalition of Central Texas’ two AmeriCorps programs. The Program Coordinator will support the Texas Family Literacy AmeriCorps (TFLA) team in member recruitment, onboarding, exiting, and support throughout the service year. The Program Coordinator will support the Director of Service Programs and the VISTA Leaders in member and site recruitment, onboarding, exiting and support throughout the service year. This position will also be responsible for coordinating professional development for VISTAs in service, and ongoing support throughout the VISTA members’ service year as well as implementing strategies to improve member experiences and ensure contract compliance for the TLFA and VISTA programs.

ABOUT THE ORGANIZATION

The Literacy Coalition of Central Texas is a medium-sized, dynamic, non-profit organization in Austin, Texas. The Literacy Coalition improves the quality and availability of literacy services and interventions in Central Texas. We support and coordinate literacy programs outside the public K-12 educational system, including adult literacy, GED classes, English language instruction for adults, family and early childhood literacy programs, computer literacy,and financial literacy. The Coalition creates a more literate Central Texas by providing the resources necessary to address this under-funded network of vital programs.

ESSENTIAL FUNCTIONS:

AmeriCorps VISTA

 Assist in the host site application process

 Manages steps in site recruitment and member enrollment

 Assists with interviewing and recruitment of members for each service year.

 Manages member enrollment and onboarding process, including obtaining personal documentation, background checks, and signatures on all forms for member personnel files. Oversee file management and retention, including updating, collecting and reviewing documents; conducting file audits.

 Supports coordination and delivery of Site Supervisor Orientation and Member Orientation for each service year.

 Ensures members are knowledgeable and compliant with AmeriCorps regulations pertaining to member service.

 Manage member timekeeping, including leave requests, and timesheet audits.

 Manages monthly report collection and performance measure tracking for each member.

 Coordinates data collection for reports to the funder.

 Assist in conducting member and host site supervisor check in calls and site visits.

 Supports VISTA Leader with identification and/or creation of professional development opportunities for VISTAs throughout their year of service. Texas Family Literacy AmeriCorps

 Assists in member enrollment and onboarding process, including obtaining personal documentation, background checks, and signatures on all forms for member personnel files. Oversee file management and retention, including updating, collecting and reviewing documents; conducting file audits.

 Assist in host site application process

 Oversee member recruitment process, including interviewing and recruitment of members for each program year through outreach activities such as attendance at career fairs, outreach to universities, online recruitment.

 Assists in training members on various program reporting tools, rules and regulations, including OnCorps timesheet system.

 Supports coordination, implementation and execution of annual one week Pre-Service and Site Supervisor Orientation for new TLFA direct service members and site supervisors including the development of member and supervisor training materials. Present in-person training.

 Ensures members are knowledgeable and compliant with AmeriCorps regulations pertaining to member service.

 Assists with member timekeeping, including leave requests, member progress towards minimum hours requirements and timesheet audits.

 Assist in conducting member and host site supervisor check-in calls and site visits.

 Assists in on-going member communication to ensure members are on track with their program outcome targets, successful in their placements, and engaging professionally at their host sites.

 Assists in planning member social and retreat activities with AmeriCorps leaders.

 

MINIMUM QUALIFICATIONS EDUCATION – Bachelor’s degree. Experience may substitute for education.

EXPERIENCE – Preferred experience: 2 years of job-related experience working in a nonprofit environment recruiting and supporting volunteers. Previous AmeriCorps service or experience with AmeriCorps programs strongly preferred. Education can substitute for experience.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED COMMUNICATION SKILLS – Excellent speaking, writing, presentation, interpersonal and relationship- building skills.

ANALYTICAL SKILLS – Ability to quality check work and keen attention to detail.

ORGANIZATIONAL SKILLS – High level of organization and ability to manage multiple priorities in a deadline-driven environment. Ability to enforce federal policies in a compliance-driven environment with heavy documentation requirements. Ability to handle sensitive personnel and files and documentation.

COMPUTER SKILLS – Proficient in Microsoft Office. Proficient in the use of databases. Knowledge of online tools and platforms such as Office 365, Asana, etc. Must pass an FBI criminal background check, state criminal background check, and national sex offender registry check prior to hire. Pay Range: $32,000 per year
